Instructions and Tips for a Smooth Distribution

The Monarch Research team will coordinate tree delivery with the nursery to ensure timely arrival at each location. Specific dates will be announced for your location.

VOLUNTEER ROLES

  • Unloading: 1-2 volunteers inside the truck and 4-6 on the ground to unload and organize trees.
  • Counting: 1-2 volunteers to verify tree quantities and species using the provided manifest.
  • Traffic Management: 1-2 volunteers to greet and direct traffic, ensuring a smooth flow of vehicles.
  • Supplies: 1 volunteer each for tree guards and planting instructions, ensuring they are readily available for distribution.
  • Distribution Assistance: 4 volunteers to assist recipients with tree selection and loading, providing guidance and ensuring accuracy.

TREE INFORMATION

Arrangement: Trees are organized by species on the delivery truck for efficient unloading and distribution.

Size and Labeling: Trees are 3-6 feet tall, potted in 3-gallon containers, and labeled with species names for easy identification.

Tree Guards: Each recipient will receive one protective tree guard, which is essential for safeguarding their newly planted trees.

Space Planning: Inform recipients that each pot requires approximately one square foot of space. This information will help them plan for adequate space in their yard or garden.

ORDER CONFIRMATION

Acknowledgment: Participants will receive a copy of their order as confirmation. This will serve as a reference when they come to pick up their trees.

Master List: Monarch Research will provide a complete list of all orders to the point person. This list will include participants' names, tree quantities, and species. It will be a valuable tool for verifying orders and ensuring accuracy during the distribution process.

Planting Instructions: Participants will receive a planting instruction card, which will provide essential tips and information for successful tree planting. Additionally, the card will include a QR code that links to online videos, offering visual guidance and further instructions.

PICKUP PROCESS

Drive-Thru Setup: A drive-thru system is recommended for efficient pickup. This will minimize waiting times and ensure a smooth flow of traffic.

Check-In: Recipients will check in with the first volunteers. This is an opportunity to greet them and ask for their order confirmation.

Order Verification: The volunteers will confirm the order using the spreadsheet provided by Monarch Research. This step is crucial to ensure accuracy and prevent any errors in the distribution process.

Supplies Distribution: Provide the driver with the necessary tree guards and planting instructions.

Tree Selection and Loading: Volunteers will select the correct trees based on the recipient's order. This will ensure that each participant receives the exact trees they ordered. Assist recipients with loading their trees into their vehicles.

Exit: Once the trees are loaded and the recipient has received all necessary materials, they can proceed to exit the pickup area.
